Vehicles audit digital transformation
Overview and problem
To run vehicles audit in Saudi Arabia, government organization used manual tools like physical papers and forms that led to low-speed operations, maintenance complexity, lack of traceability, and consequently to inspectors’ performance issues. We’ve designed web and mobile apps that increased inspectors’ productivity by 20% and made workforce management significantly faster.
Role
I was an end-to-end Lead Product Designer in the team of 10 people comprised of Head of Product, Front-end and Back-end engineers, Business analysts and government stakeholders. I fully owned the design process and my work included research, prototyping, interface design, user testing, design handoff, UAT, engagement with stakeholders.
Research
Discovery phase included tight communication with head of product, development team lead and business analysts. Also I had to carefully review company’s transportation audit processes documentation and conduct a few user interviews.
All these activities helped me to understand the audit process better and define users and business needs.
Audit process consisted of two parts.
- Back-office team part, where they organise and evaluate Inspectors work.
- Inspector’s part where he wakes up in the morning and goes to conduct the transportation audit in locations like city airport or car rentals.
So we decided to design the web app for a back-office team because they pretty much work in the office sitting behind their computers and mobile app for Inspectors because they daily operate on different locations in the city.

Plan generation
All inspections have to be planned in advance. Operations Planner generates missions plan and sends for approval to Operations Manager.
Schedule management
Supervisors need to understand Inspectors workload and reassign audit missions in some cases. Calendar view helps to solve that easily.
Live tracking
To understand how inspectors perform in the field we designed live tracking interface where Supervisor could clearly see inspectors’ movement, missions that are completed, in progress or upcoming along the day .

Mobile app for Inspectors
On the daily basis Inspectors have to visit organisations offices to conduct vehicles audit. Usually it’s tasks like checking licenses, documentation, violations. Our goal was to design cross platform mobile app that could cover all Inspector’s activities along the day.

Results
The feedback we received from the end users and management was extremely positive. New apps significantly improved inspectors' productivity. Percentage of successfully completed inspections increased by 20%. Workforce management operations like plan generation, completed missions review, reporting have become much faster which helped to reduce working hours and company costs.
